When you use the contact form or get in touch directly, we may collect your name and contact details (email address, phone number), information you choose to share about your reason for seeking therapy, session notes and clinical records once therapy begins, and payment information. Card details are not stored by us.
Your information is used solely to respond to your enquiry and arrange an initial consultation, provide and administer therapy sessions, meet our legal and professional obligations including BABCP standards, and maintain clinical records as required by our professional body. We will never sell, share, or use your personal data for marketing purposes.
We process your data on the basis of legitimate interests (to respond to enquiries and manage appointments), contractual necessity (to provide the therapy service requested), legal obligation (to maintain clinical records and comply with professional standards), and explicit consent for any sensitive health information you share with us.
Everything discussed in therapy is treated as strictly confidential. There are limited exceptions where confidentiality may need to be broken — for example, if there is a serious risk of harm to you or others. These exceptions are discussed with all clients at the start of therapy.
Clinical records are retained for a minimum of 7 years following the end of therapy, in line with professional guidelines. Enquiry data from people who do not go on to become clients is deleted within 6 months.
Under UK GDPR, you have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data (subject to legal obligations), object to or restrict how we process your data, and withdraw consent at any time where consent is the basis for processing. If you have concerns about how your data is handled, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
